These Terms & Conditions (“Terms”) govern the use of the website, services, bookings, and products offered by Sacred Tones Ltd (“we”, “us”, “our”).

By accessing our website or making a booking or purchase, you agree to these Terms.
2. Services & Products
These Terms apply to:
- Studio classes and workshops
- Private (1:1) sessions
- Events, ceremonies, and special offerings
- Private hire and corporate bookings
- Physical products
- Digital products (PDFs, recordings, downloads)
- Gift vouchers
- Memberships and packages
3. Bookings & Payments
- All prices are in GBP (£).
- Payments may be processed via Shopify Payments, Stripe, PayPal, or Momence.
- Full payment is required for classes, workshops, events, shop items, and digital products.
- Deposits may be required for private hire and corporate bookings.
- VAT is included in the price of shop products, classes, and workshops.
- VAT is added on top for private hire and corporate bookings where applicable.
4. Classes – Cancellations & Credits
- Cancellations must be made at least 12 hours before the class start time.
- Eligible cancellations receive credit only.
- Late cancellations and no-shows are non-refundable.
5. Workshops
- Workshops are non-refundable.
- Where a workshop has fewer than two bookings, Sacred Tones Ltd reserves the right to cancel.
- In such cases, participants will be offered a refund or credit.
6. Private Sessions (1:1)
- A 48-hour cancellation notice is required.
- Late cancellations or no-shows are non-refundable.
- Private sessions for children require parental or guardian consent.
7. Events, Ceremonies & Special Offerings
- Events require full payment at least two weeks prior to the event date.
- A minimum of two weeks’ notice is required for cancellation.
- If payment is not received by the two-week deadline, we reserve the right to release the booking.
8. Private Hire & Corporate Bookings
- A two-week cancellation notice period applies.
- Deposits may be required and will be outlined at the time of booking.
- VAT is charged in addition to quoted prices where applicable.
9. Late Arrival Policy
- A strict 5-minute grace period applies to all classes and workshops.
- Entry will not be permitted after this time, as late arrival is disruptive to the group experience.
- Late arrivals are considered a no-show and are non-refundable.
10. Behaviour, Safety & Right to Refuse Entry
To protect the wellbeing of our community:
- We reserve the right to refuse entry or ask a participant to leave if their behaviour is disruptive, inappropriate, or unsafe.
- This includes individuals who appear to be under the influence of drugs or alcohol.
- No refunds or credits will be issued in these circumstances.
11. Physical Products (Shop)
- We ship within the UK only.
- Eligible items may be returned within 14 days of receipt, in accordance with UK consumer law.
- Return postage costs are the customer’s responsibility.
Custom-Made Items (SoulMat Collection)
- Custom-made items require 50% deposit upon order and 50% prior to delivery.
- These items are non-refundable and non-returnable.
12. Digital Products
- Digital products are delivered via download and/or email.
- Once accessed or downloaded, digital products are non-refundable.
13. Gift Vouchers
- Gift vouchers are valid for 12 months from the date of purchase.
- Gift vouchers are non-refundable and cannot be exchanged for cash.
- Lost or expired vouchers cannot be replaced.
- Vouchers may only be redeemed as specified at the time of purchase.
14. Memberships & Auto-Renewals
- Memberships are auto-renewable unless cancelled by the member.
- Memberships may be cancelled at any time.
- Once a membership payment has been processed for a billing period, it is non-refundable.
- Membership benefits remain active until the end of the current billing period following cancellation.
15. Health, Wellness & Liability Disclaimer
- All offerings are complementary wellness practices and are not medical advice.
- Participation is undertaken at your own risk.
- Clients are responsible for disclosing any injuries, health conditions, pregnancy, or relevant medical information.
- Sacred Tones Ltd accepts no liability for injury, loss, or damage except where required by law.
16. Age Limits
- Minimum age for adult classes is 16 years.
- Children’s classes and private sessions require parental or guardian consent.
17. Intellectual Property
All website content, class materials, recordings, written content, and digital products are the intellectual property of Sacred Tones Ltd and may not be copied, reproduced, distributed, or resold without prior written permission.
18. Teacher & Facilitator Substitution
We reserve the right to substitute teachers, facilitators, or practitioners where necessary. Such substitutions do not entitle participants to refunds or credits.
19. Photography & Marketing Consent
From time to time, photographs or short recordings may be taken during classes or events for marketing and promotional purposes.
If you do not wish to appear in any imagery, please inform a member of staff prior to the session.
20. Force Majeure
Sacred Tones Ltd shall not be liable for any failure or delay in performing its obligations due to events beyond its reasonable control, including but not limited to extreme weather, fire, flood, epidemics, government restrictions, strikes, power outages, or the unavailability of the premises.
In such cases, we reserve the right to cancel, reschedule, or modify services. Where appropriate, clients will be offered a credit or alternative date. Refunds are not guaranteed unless required by law.
21. Changes to Services
We reserve the right to amend schedules, pricing, teachers, or content where necessary. Any significant changes will be communicated where reasonably possible.
22. Governing Law
These Terms are governed by the laws of England and Wales, and any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
